Gyms and studios run on recurring revenue: monthly memberships, class packs and personal-training packages billed through studio software. The software is excellent at tracking members and bookings; it is not an accounting system. Bookkeeping turns its reports into financial statements you can rely on.
Recurring billing and failed payments
Each billing run produces successful charges, declines, retries and refunds. We record membership revenue from the billing report, track processor fees and reconcile payouts to the bank, so declines and refunds are visible rather than quietly reducing deposits.
Prepaid packages
Annual memberships and class packs are paid upfront for services delivered over time. Treating the whole payment as income in the month sold overstates that month and understates the following ones. We track unearned revenue and recognize it as classes are used or months pass, consistent with the method agreed with your tax preparer.
Trainers and instructors
Instructors may be employees, independent contractors or trainers who rent space. Each arrangement is recorded differently. The IRS lists the factors on its independent contractor or employee page.
Equipment
Racks, machines and flooring are significant investments; Publication 946 explains depreciation. We keep an asset schedule and track equipment loans and leases.

Key terms
Terms that come up often in fitness studios & gyms bookkeeping:
- Deferred Revenue: Deferred revenue is money received for goods or services the business has not yet delivered, recorded as a liability.
- Depreciation: Depreciation spreads the cost of a long-lived business asset over the years it is used, rather than deducting it all at once.
