In short

Retail payroll covers hourly sales associates with variable schedules, seasonal hires, managers who may be salaried, and sales commissions or bonuses. It includes overtime, employee discounts as fringe benefits, new-hire paperwork, federal deposits, quarterly Form 941 filings, W-2s and labor cost reported against sales so staffing can be compared with traffic.

Variable schedules and seasonal staff

Retail schedules change weekly and holiday seasons bring temporary hires. Every new employee completes Form W-4 and Form I-9 before starting, and we keep onboarding paperwork organized for seasonal waves.

Overtime and managers

Store managers may be salaried exempt only if they meet the duties and salary tests under the Fair Labor Standards Act. Assistant managers who mostly work the floor often do not. Hourly associates are owed overtime over 40 hours in a workweek.

Commissions and bonuses

Sales commissions and bonuses are wages subject to withholding, and nondiscretionary bonuses can affect the overtime rate. We set them up as separate pay items.

Employee discounts

Employee discounts on merchandise can be excludable within limits described in Publication 15-B. Discounts beyond those limits are taxable wages.

Labor as a share of sales

Payroll is posted to the books by store or department where possible, so labor cost can be compared with sales each month.

Before we start

We review shift schedules, overtime practices, commission plans, employee discount policies and seasonal hiring patterns.

Employee discounts above certain limits can be taxable, so we confirm how your discount program is structured before the first payroll.

Key terms

Definitions for terms used on this page:

  • Exempt and Non-Exempt Employees: Non-exempt employees must receive overtime under federal law; exempt employees meet specific tests that remove that requirement.
  • Fringe Benefits: Fringe benefits are forms of pay other than wages, such as health coverage, vehicles or discounts, which are taxable unless an exclusion applies.

Retail Stores problems this addresses

  • Daily POS totals must be matched to card batches and cash deposits
  • Inventory is the largest asset and shrink is hard to see
  • Sales tax collected must be kept out of revenue
  • Seasonal buying ties up cash months before the selling season
  • Discounts, returns and gift cards distort reported sales
