In short
Tax support for consultants, agencies and professional practices covers estimated tax planning for owners whose income arrives unevenly, documenting deductible costs such as software, professional subscriptions, a home office and travel, keeping contractor and freelancer payment records for information returns, and organising the year-end figures for the entity type the firm uses, such as a sole proprietorship, partnership or S corporation.
Consultants and small professional firms often pay tax in a different rhythm from their income. Fees arrive in lumps, owners pay estimated taxes, and many costs, from software to a home office, need records to support them. Our tax support for professional services keeps those pieces organised all year.
Estimated tax for owners
Self-employed owners and partners usually pay tax during the year through estimated payments. The IRS explains who must pay and how in its page on estimated taxes. Income for consultants is uneven, so we update profit figures quarterly and share them with you or your preparer before each payment is due.
Self-employment tax
Sole proprietors and partners generally pay Social Security and Medicare tax on their own earnings through self-employment tax. How much depends on net earnings, which is another reason to keep expenses complete and correctly recorded.
Deductible costs that need support
- Software, subscriptions and professional memberships
- Travel to clients, with the purpose recorded; Publication 463 explains travel and transportation rules
- A home office, if it meets the IRS tests described on the home office deduction page
- Training and continuing education related to the business
We record each category with receipts so your preparer can rely on the figures.
Freelancers and subcontractors
Agencies often use freelancers. Collect a Form W-9 before paying, and we keep payment totals ready for Form 1099-NEC where it is required.
Year-end package
- Profit and loss and balance sheet for the entity
- Owner draws, distributions or salary summary
- Expense categories with supporting documents
- Freelancer payment totals and W-9 status
- Quarterly estimated payment records
We hand this to your preparer, or can discuss preparation as part of an agreed engagement. See our tax services, how we keep professional services books, or book a consultation.
