What is Audit Trail?

An audit trail is the chain of records that lets anyone trace a number in the financial statements back to its source documents.

An audit trail connects every figure on a report to the transactions behind it, and each transaction to evidence: an invoice, receipt, bank statement, contract or payroll report. A strong audit trail lets you answer "where did this number come from?" quickly.

Components

  • Source documents such as invoices, receipts and statements
  • Transactions in the general ledger with dates, amounts and descriptions
  • Journal entries with explanations and supporting calculations
  • Reconciliations of bank, card and loan accounts
  • Software change logs showing who entered or edited each transaction

Why it matters

  • Taxes: the IRS's recordkeeping guidance expects records that support each item on a return
  • Lenders and buyers: due diligence relies on traceable figures
  • Fraud prevention: changes to closed periods or unexplained entries stand out
  • Owner confidence: decisions are better when numbers can be verified

Practices that weaken it

  • Deleting transactions instead of voiding them
  • Editing closed periods without notes
  • Large journal entries without explanations
  • Missing receipts for significant expenses

Practices that strengthen it

  • Attach receipts to transactions; see digital receipts
  • Lock prior periods after the month-end close
  • Save monthly reconciliation reports
  • Give each user their own login so the change log is meaningful
